What's Needed For An Event

One of the items on the To Do List was to come up with a document that had a 
list of itmes that we needed to have answered before we could hold a 
successful event.  Eventually we'd like to give everyone the opportunity to 
coordinate an event and this list could be used as a guide line.

I've put together a list of questions that we've asked at previous events.  
Please take a few minutes to review it and send your comments back to me by 
May 15.

What’s Needed For An Event

Before the Board of Directors can decide whether or not we can attend an 
event they will need to know the following information.

1. What type of event is it?  (Train Show, Fun Run, demonstration for a 
local group)
2. What is the Date and Time of event?  (Exhibitors/Public)
3. What is the Date and Time of set up?
4. Who is the Point of Contact for the event?  (Name, Phone Number, E-Mail 
Address)
5. What is the location of the event and where will we set up our layout?
6. What is the size of the area we will be given to use for our layout?
7. How many chairs and tables will be available for us to use?
8. What is the distance to electrical outlets?
9. Where can we load/unload the trailer?
10. Where can we park the trailer?
11. Can we hold a raffle or sell items at the event?
12. Will any money be donated to TTAT to cover our expenses?
13. Will passes be provided for members to get into the show?
14. Will security be provided if the layout/trailer are kept overnight?

Additional information is needed once the club has accepted an invitation to 
an event.
1. What members/guests are going to attend the set up and show.  (days and 
time)
2. Who will be the Fat Controller(s).
3. Who will tow the trailer to/from an event.
4. When will set up begin.
5. What modules will be used in the layout.
6. When will the layout be torn down and loaded into the trailer.
